Managing Appointments Across the Agency

As an admin, you have full visibility and control over all appointments scheduled within your agency.

Accessing the Appointments Tab

  1. In the left-hand navigation menu, click Appointments.

  2. This opens a full list of all scheduled appointments across your agency.

You’ll see a table organized by:

Column

Description

Lead

The name of the lead.

Date & Time

When the appointment is scheduled.

Contact Info

Lead’s phone number.

Type

Indicates if it’s a Phone Call or Field Appointment.

Agent

The assigned agent for that appointment.

Actions

Options to Edit, Appointment or Disposition.


Editing Appointments

Click Edit Appointment in the Actions column to:

  • Reschedule the date or time

  • Change the appointment type (Phone ↔ Field)

  • Reassign to another agent

  • Update the field appointment location (if applicable)


Editing Dispositions

Click Edit Disposition to update the outcome of the appointment to:

  • Success

  • Attempt

  • Failed

  • Follow Up


Editing Lead Information

Click Lead to Edit:

  • Update the lead’s name

  • Add or modify internal notes

  • Correct any contact details or profile information


Best Practices

  • Monitor daily appointment volume to identify trends and agent load.

  • Use editing tools to resolve scheduling conflicts or no-shows quickly.

  • Reassign leads when an agent is unavailable or at capacity.

  • Double-check contact information to ensure leads receive timely callbacks.
