What Is a Number Pool?
A number pool is a set of phone numbers assigned to your agency and managed by our platform to maximize call connections and answer rates. Instead of dialing from a single static number, the system rotates through the pool automatically.
Number pools with scrubbing are required for Auto Dialer functionality.
How rotation works
The rotation algorithm factors in:
Usage frequency per number — spreads traffic so no single number gets overused.
Area code matching — when possible, caller ID matches the prospect's area code.
Pickup likelihood — historical performance influences which numbers are selected.
Carrier filtering risk — rotation reduces the chance any one number gets flagged.
Key principle: Larger pools perform better. More numbers means less repetition per carrier, lower filtering risk, and higher answer rates. A single number calling repeatedly is flagged quickly.
Before You Start: Call Compliance
Before any pool is set up, the call compliance form must be completed.
Timeline: Plan for 2–3 weeks to complete the compliance process. This is the longest step in the overall setup, so submit early.
Configuration Guidelines
Standard setup: 3–5 numbers per area code
The baseline recommendation is 3 to 5 numbers for each area code you are dialing into. This provides enough rotation to avoid carrier filtering while keeping costs manageable.
When to scale up
If you are running heavy volume in a specific area code, the 3–5 baseline may not be enough. Signs that a pool needs expansion:
Declining answer rates in a specific area code.
Carrier filtering reports or "Spam Likely" flags.
Call volume has increased significantly since initial setup.
You are expanding into new geographies.
When this happens, purchase additional numbers for the affected area code. There is no hard ceiling — match pool size to traffic volume.
Identifying your area codes
Map out every area code in your prospect list before purchasing. The fastest method:
Load your lead list into Excel.
Pull all area codes and count how often each appears.
Prioritize numbers for your highest-volume states and area codes.

Cleaning and Scrubbing
Every number purchased is automatically sent for cleaning before it enters the pool, provided your agency has signed up for ongoing scrubbing. Cleaning removes any negative carrier history associated with the number from previous use, giving it a clean starting reputation.
Important: If your agency is not signed up for ongoing scrubbing, the pool will eventually fill up with spam numbers. Confirm scrubbing is active before relying on the pool for production volume.
Warmup Period
Each new number takes approximately 2 weeks to warm up after it enters the pool.
Two things happen at the same time during warmup: the rotation algorithm trains on the new number, and the number is still in the process of being scrubbed. Expect lower contact rates during this period — this is normal and not a sign of a problem.

Common Questions
Do I need to manage the rotation myself?
No. The system handles all rotation automatically. Once the pool is configured, no manual action is needed.
Why 3–5 numbers per area code?
It is the minimum effective rotation to avoid carrier flagging while staying cost-efficient. For high-volume area codes, more is better.
What happens if a number gets flagged as spam?
Whether a number appears as spam depends on the carrier — different carriers flag numbers differently, so a number may show up as spam on one carrier or device and be clean on another. There is no single universal spam status.
If a flag does occur, the system automatically pulls the flagged number from active circulation and deprioritizes it in rotation. The number is not automatically removed from the pool or replaced — it remains in the list but will not be used while flagged. If a number continues to perform poorly over time, it can be manually removed and a replacement purchased. Regular cleaning helps reduce the likelihood of flags across carriers.
Can I keep personal or agent-specific numbers outside the pool?
You can, but it is not recommended. Personal numbers outside the pool miss the benefits of rotation and are more likely to be filtered. We recommend moving them into the shared pool.
How long does the full setup take?
The compliance form is the longest step at 2–3 weeks. After that, purchasing, cleaning, and configuration can be completed quickly. Each new number then takes ~2 weeks to fully warm up.
